Purpose of the Role

As a Supplies Officer, you will play a key role in ensuring efficient procurement processes, maintaining accurate records, and fostering strong relationships with suppliers. You will help the organisation make smart purchasing decisions while supporting compliance and best practices in procurement.

Key Responsibilities

Core Duties

  • Prepare, seek approval for, and issue official purchase orders (POs).
  • Maintain and update the supplier database, ensuring compliance with KYC requirements.
  • Support supplier vetting and onboarding processes.
  • Provide procurement support in line with best practices and policies.
  • Organise and maintain procurement files, including supplier contracts, vehicle registration cards, and insurance documents.
  • Monitor supplier contract compliance and procurement procedures.
  • Assist the Procurement Manager with daily tasks and special assignments.

Daily Tasks

  • Manage procurement of goods and services (office assets).
  • Prepare purchase order control sheets and registers.
  • Draft and process purchase orders for submission to suppliers.
  • Handle documentation for vehicle registration and insurance.
  • Keep accurate and up-to-date records of suppliers, contracts, and related documents.

Required Qualifications & Skills

  • Bachelor’s degree in Finance, Logistics, Procurement, or related field.
  • Minimum of 1 year of relevant experience in procurement or supplier management.
  • Strong analytical, organizational, and interpersonal skills.
  • Excellent written and spoken English.
