
Maternity Africa (www.maternityafrica.org) is a Christian-based, charitable, non-governmental organization registered in Tanzania. Its mission is to make childbirth safe by ensuring women have access to reliable maternity services and treatment for obstetric fistula and other birth-related injuries. The organization serves the poorest and most vulnerable women by providing free, high-quality reproductive health care. Every programme is designed to improve the health and wellbeing of mothers and newborns and to reduce maternal and neonatal illness and death.
Position: Procurement Officer
The Procurement Officer oversees all purchasing activities within the organization, ensuring that goods, services, and works are acquired in a timely, cost-effective, and compliant manner. The role is central to promoting transparency, safeguarding integrity, achieving value for money, and strengthening supply chain efficiency to support smooth and effective programme delivery.
Duties and Responsibilities

Solicit and review tenders from potential suppliers and present recommendations to the Kivulini Tender Committee.

Prepare and negotiate purchase contracts for goods and services required for the effective operation of Kivulini Maternity Centre.

Allocate purchase requests to preferred suppliers and follow up to ensure timely delivery.

Develop and implement a procurement strategy that ensures cost efficiency, quality standards, regulatory compliance, and reliable supply options for essential items.

Liaise with the Tanzanian Food and Drug Administration, Tanzanian Bureau of Standards, and the Tanzanian Revenue Authority to ensure all import documentation aligns with Maternity Africa’s tax status.

Work with appointed clearing agents to ensure imported items reach Kivulini Maternity Centre in a timely and cost-effective manner.

Maintain accurate and secure records of all procurement contracts and related documents.

Review supplier invoices to confirm they meet the terms of purchase orders and contracts, and recommend them for payment.

Track and report key procurement metrics to help reduce costs and improve efficiency.

Stay informed about changes in the market, supplier conditions, and legal requirements, and advise management accordingly.

Work closely with key staff to ensure all purchases meet departmental and organizational needs.

Carry out any other duties assigned by management in support of the daily operations of the Kivulini Maternity Centre.
What we are looking for

Minimum of a Diploma in Procurement, Purchasing and Supplies Management, or related field.

At least three years of relevant work experience.

Strong proficiency in Microsoft Office, especially Word and Excel.

High level of integrity.

Strong negotiation and persuasion abilities.

Excellent organizational and time management skills.

Professional Procurement Certification (PSPTB or equivalent) is required.
